Information and purpose
We use your sign-in identity, name and email to provide account access, organization membership, invitations and support. An organizer can upload names, email addresses, departments and team assignments. Employee birth dates should not be uploaded from HR records.
Your birth date is calculated in your browser. We retain the derived calendar day, number and calculation version, rather than the raw birth date, when you save a profile. Calendar results remain personal information when linked to your account. We also store the reports, shared drafts, private reflections, guide checkmarks and review date you choose to save.
Payment identifiers, amounts and status support billing and refunds. Essential access and security records support authentication, abuse prevention and auditing. Support requests may include the scheduling or print details you choose to provide; avoid unnecessary sensitive information.
Who can see what
Organizers see the people in their programs, invitations, membership and place activation, teams and program dates. Billing access is assigned separately. Organizers do not automatically see pair reports, shared drafts, private reflections or personal guide progress.
Participants can find eligible colleagues in their program directory. A pair report opens only after both participants authorize it. Both can edit its shared draft; saving wording does not prove that the other person has agreed to it. External collaborators see only the relationships made available to them.
Withdrawing sharing removes future access through the application. Removing a person from an organization revokes that organization's access. Neither action can recall a file someone has downloaded. Keep exported shared information private.
Your private reflections are visible only to you in the workspace. They remain read-only if the other person withdraws or a calendar profile changes, until both people share a current reading. Leaving the program or being removed from the organization deletes your own notes. Deleting a reflection clears its text; a version marker remains until normal program cleanup so an old browser tab cannot restore it.
Maya Together Companion
Companion is optional AI guidance. Both people separately authorize use of their shared reading. We send selected day-sign themes and the conversation you enter to Vercel AI Gateway, routing only to providers offering zero data retention and no prompt training. We do not automatically include birth dates, names, account identifiers, private reflections or other reports. Avoid confidential company information and sensitive personal details in your messages.
Conversations are encrypted in our database and accessible only to their author in Maya Together, with no organization-admin or colleague access. Delete or download them inside Companion. We remove conversation text when Companion sharing is withdrawn, a participant leaves, or the program’s 30-day read-only period ends. Minimal allowance and purchase records remain; deleting a conversation does not reset an allowance. Companion has no cross-conversation memory. An AI provider processes text transiently to answer; this is not end-to-end encryption.
Your organization and your choices
Your organization chooses the purpose of its program and whom to invite. Ask the organizer for its workplace privacy information and a genuine alternative if you prefer not to use a calendar reading. Participation, calendar results and private answers must not be used for employment decisions.
Accepting an invitation and authorizing sharing are product permissions. They do not, by themselves, settle every legal requirement for an employer to process employee information. Organizations should determine their processing responsibilities and required agreements before rollout.
Service providers and payment
Participants sign in with the account email on their invitation. Check available sign-in options before planning your launch. Stripe handles payment details and may collect billing addresses and tax information. We receive payment references and status, not your complete card number. Birth dates are not sent to AI models. If both people enable Companion, only the selected reading themes and the messages entered by the person using Companion are processed as described above.
Hosting and database infrastructure are part of the service's deployment. Organizations that need a confirmed subprocessor list, processing locations, transfer terms or a data-processing agreement should request and agree those details before purchase. No specific data-residency commitment is implied by this notice.
Retention
Programs last 90 days. Existing shared reports are available for 30 additional days while sharing remains authorized. After that window, report content, calendar profiles, private reflections and personal progress are no longer available and are removed through the retention process. Saved preview content becomes unavailable after 30 days and is eligible for cleanup.
Invitation delivery and roster data are removed after the program's additional 30-day window. Inactive draft or unlaunched roster data is eligible for cleanup after 90 days. Closed support requests are eligible after 90 days without an update; other support requests after 180 days without an update. Security audit records are eligible after 180 days.
Cleanup runs through service and operator maintenance. Financial records and necessary transaction evidence may be retained for accounting, legal obligations and disputes. Ask us about a specific record or retention requirement before putting regulated information into a program.
Access, correction and deletion
Settings provides an export of available account information and an account-content deletion option. Correct a calendar profile in My profile; a correction resets the relevant sharing approvals. Organization owners must transfer ownership or arrange closure before deleting their account content.
You can also request access, correction, deletion, restriction or a review of how your information is used by emailing eduardovertizm@gmail.com. You do not need to create an account to ask about an invitation. We may need to verify your identity before disclosing or changing records. Available rights and complaint routes depend on your location; you may contact the relevant data-protection authority.
Cookies and browser storage
Essential cookies support sign-in, administrator verification and the free-reading allowance. Browser storage remembers your selected organization, in-progress program setup, print selection and current preview. No advertising pixels are installed. Close shared browser sessions after use.
